1. Keep full details of tenant’s arrivals and departures. Ensure that all tenants have proper tenancy agreements and they are stored correctly..

2. Keep logs and records of all inspection visits to the property i.e. when property inspection took place, what was discovered, what discussions with tenants took place etc.

3. Have a full record of all faults found and repair work done, together with receipts and invoices to prove this (should it ever be in question)

4. Keep copies of all letters to and from tenants so you can prove that you did not ignore the issues or concerns raised in regards to the property. If a letter is not required then create a file note of relevant discussions and/or phone calls. Tenants tend to have a different recollection to yours so a note of what actually happened can be very useful.

5.Safely store all certificates for safety equipment and tests including for the five year electrical test along with evidence of your risk and fire safety assessments. If there is no record, you will not be able to prove it if challenged by the tenants or Local Authority.
